Back Market is looking for an Office Manager who will bring the Berlin office to life with events and smooth day-to-day functioning. Reporting to Pierre, Head of Culture, this person will be responsible for both office administration (supplies, visitors, maintenance) and culture initiatives (awesome events  in and around the office, activities, and other employee offerings), as well as local onboarding of new hires.

Your Mission (If You Accept It) 🏅:

  • Collaborate with the Culture Team & People Team in building an exciting agenda. 
  • Organize events & activities (both in-person and online) for special occasions and everyday life: fitness classes, seasonal celebrations, DIY workshops, afterwork parties, employee giveaways, etc.
  • Act as a values ambassador for Back Market both in the Berlin office and beyond, and actively contribute to the successful local onboarding of new hires.
  • Purchase office supplies, snacks, beverages, and weekly lunches through a network of local, ethical, environmentally-responsible vendors.
  • Organize all office receipts and invoices for budget tracking at the end of the month.
  • Welcome external visitors (service providers, job candidates) on a daily basis.
  • Sort & distribute incoming and outgoing mail, love letters, packages, and orders in a timely and precise manner.
  • Build and maintain relations with the management of the coworking space to ensure the proper maintenance of our private space.
  • Ensure the proper application of health and safety rules within the premises (purchase Covid personal protective equipment / sanitary measures, communicate about Covid policy & updates, etc.).
  • Proactively research new crazy ideas to bring employees together (think outside the box - foosball is already everywhere).
  • Propose and test innovative elements within the Back Market spirit.
  • Capture & digitally file awesome photos and videos of activities & events.
  • Make the office a fun place to be!
  • Ensure that it is clean, welcoming, and full of goooood vibes.
  • What you'll bring to the team ⭐:

  • Successful experience in roles such as HR admin and/or office management, in a similar environment.
  • Fluent in English and some German skills (both written and spoken). French is a big plus.
  • Detail-oriented and organized, with a demonstrated ability to multitask.
  • A high level of initiative and motivation.
  • Skilled at combining a sense of confidentiality with a genuine people care attitude.
  • Creative mind, ready to bring our Berlin office to life.
  • Excellent interpersonal and communication skills.
  • Positive, friendly and outgoing personality.
  • The interview process will include meeting with various parts of the business, including direct manager & Culture Team colleagues, Berlin Team members, and a final meeting with one of the co-founders.
